Many hotels and meeting venues look to book weekday events to bring in more revenue. If your meeting space is empty, that’s a lost opportunity. Some businesses don’t market their meeting spaces effectively, or don’t have the right equipment available to attract corporate customers.

Eventective has 3 tips to help you to start booking more corporate meetings:

  1. Promote Corporate Meeting Offers

Nothing is more frustrating to a corporate planner than not being able to see what a venue has to offer them for their meeting. The more information you have displayed on your website, the more apt the planner is to contact you directly. We recommend adding corporate offers that display different options for different types of meetings. Here are some examples below:

  1. Provide AV Equipment

As mentioned above in some of the corporate meeting offer examples, each one included the option to rent out AV equipment. Most corporate planners are looking for a place where they can come right in, set up their presentation, and be ready to start their meeting. Some locations include the rental of the equipment in the total package cost, or they allow the client to rent out the equipment at a separate cost as needed. Whichever way you decide to go with rentals, we would recommend having the following equipment available:

  • Microphones
  • Speakers
  • Video equipment: DVD, teleconferencing
  • Projector- HDMI, VGA connectors
  • Projection stands
  • Remote control for projectors
  • Screens, Large HD TV
  • Computer
  • Mouse/Keyboard
  • Laser pointers, flip charts, slide trays
  • Lighting options
  1. Continual Corporate Meeting Discount

Most locations will end up booking a meeting and watch the client walk away without knowing if they will be back again in the future. To ensure that this does not happen, we recommend offering an incentive to keep the client booking their meetings at your venue. By building an ongoing relationship between your venue and the client, this shows that you are not only interested in bringing in more revenue, but you’re interested in continuing corporate ties. Here are some recommendations to keep clients coming back:

  • Offer a 10% off discount for continual monthly bookings of the meeting space
  • Offer free breakfast if they book 5 months in a row
  • Offer discounted room rates if people need to stay in the area overnight.

Conclusion

Overall, changing the way you market your meeting space, all while offering the right equipment and incentives, your venue will start to see more regular bookings for your meeting room. If you offer these options with flexibility based on the client’s needs and work in the client’s best interests, they will enjoy working with your venue again in the future. So make sure to consider the following 3 tips:

  1. Promote Corporate Meeting Offers
  2. Provide AV Equipment
  3. Offer Continual Corporate Meeting Discounts
